1. Who is responsible

Trondheim by Boat AS is the data controller for personal information handled directly through this website and our customer communication, unless another controller is clearly identified.

2. Information we may receive

  • Contact details such as name, email address and telephone number.
  • Booking details such as activity, date, group size, payment status and booking reference.
  • Information you choose to share about allergies, mobility or other requirements relevant to safe delivery.
  • Messages, feedback and complaint information.
  • Technical information such as IP address, browser data and cookie choices when collected by the final website platform.

Please do not send unnecessary sensitive information through an open contact form.

3. Why we use information

We use information to answer enquiries, enter into and fulfil bookings, provide safe experiences, process payments, meet accounting and legal duties, prevent misuse and improve our services.

We normally process booking and enquiry information because it is necessary to take requested steps before a contract or to perform the booking contract. Accounting information is processed to meet legal obligations. Limited technical and operational information may be processed for our legitimate interests in operating a secure and reliable service. Consent is used where required, including for optional marketing or non-essential tracking.

4. Service providers and partners

Information may be shared only where necessary with booking and payment providers, hosting and email providers, accountants, insurers and the guides or local partners delivering the booked experience. Public bookings are processed through Bookspot and the payment provider identified during checkout.

We do not sell personal information. Our booking page contains Bookspot content, and pages currently request fonts from Google and images from an external Squarespace content service. These providers may receive technical information such as IP address, browser information and request time when their content loads. Before launch, the final hosting and email providers will be added to our internal processing record. Any transfer outside the EEA must use a lawful transfer mechanism.

5. How long information is kept

We keep information only as long as necessary for the stated purpose and any accounting, insurance, safety or legal requirement. Enquiries that do not become bookings are normally deleted within 12 months. Booking communication is normally retained for up to three years after the experience unless a complaint, insurance matter or legal requirement makes longer retention necessary. Accounting documentation is retained for the period required by Norwegian law. Marketing information is retained until consent is withdrawn or the list is no longer in use. Safety and incident records are retained according to the nature of the incident and applicable insurance and legal requirements.

6. Your privacy rights

Depending on the circumstances, you may request access, correction, deletion, restriction, portability or object to processing. Where processing is based on consent, consent can be withdrawn for the future.

Contact info@trondheimbyboat.com. You may also complain to the Norwegian Data Protection Authority (Datatilsynet). We may need to verify identity before fulfilling a request.

7. Cookies and similar technology

Necessary cookies or local storage may be used for security, core website functions and the booking service. We limit these technologies to what the service genuinely needs.

No website analytics or advertising pixels are currently installed. They must not be activated later until the required consent mechanism is in place. Accepting and rejecting must be equally easy, and consent must be possible to withdraw.

Bookspot and other external providers may use cookies or similar technology within their service. Their information is presented where the service loads. We will review this inventory again after the final hosting setup and before public launch.

8. Changes and contact
